General Booking Terms and Conditions

GENERAL BOOKING AND CANCELLATION TERMS AND CONDITIONS AS WELL AS HOUSE RULES FOR YÖPUU YHTIÖ OY HOTELS EFFECTIVE FROM 01.08.2018

General booking and cancellation terms and conditions, as well as house rules, at Yöpuu Yhtiö’s hotels.

These terms apply to accommodation bookings made by individual guests, unless a special agreement has been made. They do not apply to individual bookings made for groups of more than 10 people. These terms also apply to accommodation bookings made online through Yöpuu Yhtiö Oy’s websites. These terms do not apply to bookings made through third parties.

1. Booking and Confirmation

When making a booking, you must provide your name, address, arrival and departure dates, and payment method. The booking binds the hotel once it has been confirmed verbally, in writing, or by email, and you have received a confirmation number. The hotel may require various conditions for the booking, such as payment of a deposit or confirmation via credit card for the booking to be binding. The guest is responsible for checking the details in the booking confirmation and canceling the booking if necessary. In case of uncertainty, please contact the hotel’s sales service at myynti@yopuuyhtio.fi / +358 14 333 911. It is advisable to bring the booking confirmation when arriving at the hotel.

2. Arrival and Departure from the Hotel

The room is available from 3:00 PM on the day of arrival and must be vacated by 12:00 PM on the day of departure. The hotel may have different check-in and check-out times. For safety reasons, only staff and registered guests are allowed in the hotel rooms and reserved areas, and the maximum number of persons per room or area must not be exceeded.

We verify guests’ identities upon check-in.

Unless otherwise agreed at the time of booking or if your chosen rate or booking conditions specify otherwise, the room will be held until 6:00 PM on the arrival date stated in the reservation. If you expect to arrive later, you must confirm your late arrival with a credit card or another agreed method. Otherwise, the hotel may release the room for resale.

If you arrive at the hotel within the designated check-in times but your reserved room is not available, the hotel must provide the nearest possible room of the same standard at no additional cost.

3. Reservation Guarantee

An international credit card may be used to guarantee the reservation. If you arrive at the hotel after 6:00 PM, please provide a valid credit card along with the following information: your name, card number and expiry date, address, phone number, and email address. The hotel may request this information in writing or verbally.

As an alternative to a credit card or company guarantee, Yöpuu Yhtiö Oy reserves the right to require either a partial or full advance payment to secure the reservation. The advance payment and its schedule will always be agreed upon in writing with the client in advance.

Yöpuu Yhtiö Oy has the right to authorize the credit card for the agreed amount if necessary.

4. Cancellation and No-Show

Unless otherwise agreed at the time of booking or if your chosen rate or booking conditions specify otherwise, cancellations must be made no later than 6:00 PM on the day of arrival. If you fail to arrive and your reservation has been confirmed, the hotel has the right to charge you a cancellation fee equivalent to one night’s stay including taxes, as well as any additional services related to the reservation.

Cancellation terms for group bookings are as agreed in the contract. Prepaid room reservations are non-refundable and cannot be changed. Payments will not be refunded.

Hotel rooms can be paid for with cash, debit card, or credit card. It is advisable to have your booking confirmation with you when arriving at the hotel.

5. Early Departure

If you leave the hotel before the agreed departure date, you must inform the hotel no later than 6:00 PM the day before. For stays of multiple nights, you will be charged the agreed price for the unused period. Early departure may also affect the total price of your accommodation.

6. Payments

Both hotels accept the most common payment cards. However, the hotel is not obliged to accept foreign currency, vouchers, checks, or payment cards unless the hotel has explicitly agreed to do so. If the room has not been prepaid, payment must be made on-site at the hotel by cash or credit card. The hotel reserves the right to charge and pre-authorize international credit cards at the time of booking. A deposit may be charged to the credit card upon booking, as specified by the hotel, which will be deducted from the final bill.

The payment card must be presented upon arrival at the hotel. Invoices must be arranged in advance with the sales department. There is a billing fee of €9. We do not invoice reservations made through third parties.

If the hotel has not pre-authorized your credit card, it has the right to charge a deposit for additional services (such as minibar use) upon your check-in.

7. Guest Stay at the Accommodation Establishment

At the hotel, we follow good manners and house rules. If you violate these rules, you may be immediately removed from the hotel. However, you are still required to pay for your accommodation and any additional services ordered, and you cannot demand a refund for payments already made.

For safety reasons, only registered guests are allowed in hotel rooms and other reserved areas. The maximum number of persons per room or area must not be exceeded.

8. Responsibility for the Guest’s Belongings

You can store valuables in the room’s safe. The hotel is not responsible for belongings kept in the room safe. You are also responsible for your own luggage.

The hotel is not responsible for damage to or loss of vehicles or belongings inside vehicles in the parking garage or hotel parking area. The hotel must clearly indicate in the parking garage and parking area that these are not monitored areas, and the hotel is not liable for customers’ property there.

9. Guest’s Responsibility for Damage

As a guest, you are responsible for any damage caused intentionally or through negligence (such as smoking in the room) by yourself, your guests, or your pets to the room, other hotel premises, furniture, equipment, other guests, or their property. Liability for damage is determined according to general principles of compensation law.

10. Accommodation of Minors

Only persons over 18 years of age can make a room reservation. The person booking a room for a minor is responsible for the minor, regardless of whether the minor stays with them or not. A minor staying alone must have a guardian-signed, informal permission note stating the minor’s name, date of birth, and stay dates. The guardian’s name and phone number are also required.

11. Pets

You may bring a pet to the hotel for a fee of 20 €/night. Bringing pets must always be notified in advance, and the registered guest is personally responsible for their pet’s well-being as well as any damages or costs it may cause.

Pets must not disturb other hotel guests. There is a limited number of pet-friendly rooms at each of our hotels, so we recommend booking a room well in advance of your trip.

12. General Terms and Conditions for Promotional Campaigns

Offers apply only to new bookings, not to cancellations and rebookings made during the promotion period. The promotional price is valid only during the campaign and cannot be transferred to other dates after the promotion ends, nor combined with other discounts or offers. The offer is personal and non-transferable to another traveler or a newly added guest after the promotion period ends, including name changes or reservation modifications. Promotional rooms and extra beds are limited in availability, and prices may vary depending on arrival and departure dates. We reserve the right to make changes.
